The evolving landscape of technology has given rise to a huge amount of data being created from hundreds of sources on a daily basis. In both peoples personal and business lives technology now plays a major role and data underpins all of it. As well as vast amounts of growing data, organisations and users have to deal with a multitude of threats on a daily basis. Ransomware and cyber-crime are on the rise and with attacks such as WannaCry effecting hundreds of thousands of organisations, organisations must be prepared.
Ensuring data protection and management is not only best practice but also gives organisations the ability to comply with data protection laws and regulations, like the upcoming GDPR. As part of a complete data management regime, backup is vital. Backup data may not protect an organisation or user from being hit with a ransomware infection or from accidentally deleting data, but it is the perfect way to recover data and limit the damaging effects.

Backing up and protecting data can be a time-consuming task if not done in an efficient matter. Hardware reliant solutions can take weeks to implement and ongoing administration can cause headaches at the best of times. When it comes to ensuring backup data is stored securely keeping a copy off-site is vital. This ensures that backup data is not lost in a full-site disaster and protects from ransomware infections on an internal network.
Having to recover from a backup isn’t predictable, it may be a single file recovery after the MD has deleted an important record or a full server image after a failure or outage but having a reliable backup in place will cover all eventualities. Having a reliable backup ensures backups aren’t failing, reliant on aging hardware or past versions of software and also ensures new systems and applications can be protected.
With backup forming part of a data security strategy, before implementing a solution it’s important to make sure the solution is itself secure. One of the key parts of protecting backup data is usually encryption; some organisations will hold encryption keys for end-user organisations and others will ensure that only the end-user organisations have them, these are both factors that can contribute towards who has access (authorised or otherwise) to data.
The true cost of a backup solution needs to take into account various aspects. With some solutions requiring hardware, licensing, maintenance and support, costs to take data off-site and costs to deliver these can start to add up. Cloud-based solutions are more likely to charge on a usage model, ensuring end-user organisations only pay for what they use whereas hardware-based solutions require CAPEX investment. A CAPEX investment rather than an OPEX investment may benefit organisations in different ways but a cloud model delivers more flexibility in scaling data volumes and for rapidly growing environments may be more suitable.
Taking the time to review new solutions and implement a new or updated backup brings additional value to an IT team, ensuring data availability and giving additional restore functionality if it works. Trialing or testing a solution on real data before it is implemented is a must. Cut down (lite) versions of software may work well in theory but when faced with your full data set on a live system, can you afford a failure?
The tips and tricks of a successful backup strategy vary from one organisation to another and the requirements and environment an organisation has will shape this.
