Data volumes are ever increasing, and IT teams are increasingly stretched to manage and protect data. Many organisations struggle to combat data growth, due in part to the sprawl of data across different systems and applications, as they simply cannot establish where all of the data is coming from and what it is. This not only makes management harder, but it increases the risk of a data breach and often renders data invaluable.
Even with the rising use of cloud in everyday business, primary storage systems are more often than not hardware solutions that require large amounts of capex investment upfront. For Enterprise organisations, it is likely that primary storage solutions will be run from expensive data centres on the latest kit whereas for small to mid-sized organisations this could be a single server. The explosion of data that businesses have seen over the last decade, means that primary storage platforms are reaching capacity much more quickly and in turn driving up the amount of capex investment required by businesses. However, with large proportions of data being made up of ROT (redundant, obsolete, trivial), if organisations had a way to clean their data, they would be able to make more efficient use of primary storage instead of having to buy more.
Gaining an understanding of what data is stored on systems can be a difficult task, therefore using solutions that can help to centralise data and how it is managed, are a step in the right direction.
Data archiving can be defined as the migration of data from primary storage systems onto secondary storage systems, often for long-term retention. With data protection laws set for a shake-up in 2018, with the GDPR, organisations will have to start reviewing data retention policies and remove data that isn’t needed, from systems. However, when data is required to be kept, archiving can play an important role in keeping it secure and also in solving the need for large amounts of primary storage.
For archiving to be successful there is still a need to be able to identify data, understand if it should be kept and if it should stay on primary storage or secondary storage. This is the same challenge that organisations face with understanding their primary data. In addition to this, archive data has historically become more inaccessible once moved to secondary storage. Historically archiving has utilised tape or other removable media, which then has to be stored in a secure off-site location. For a recovery to take place from this, the media has to be retrieved before it can be accessed, taking valuable time.

This allows for flexible cloud based archiving that ensures data is securely migrated to secondary storage and can be retrieved quickly. Unlike tape based archiving where tapes had to be manually organised and labelled, cloud archiving gives users the ability to search for data, speeding up the access process.
